A little bit about the opportunity
You will proactively provide administrative support to your agent, utilizing your unique strengths to elevate their productivity. Your day-to-day responsibilities will involve efficiently managing phone and email correspondence, organizing their calendar, keeping track of invoices and expenses, and task management.
Area of focus
Administrative Support: You will play an essential part in continuing to build the business. You will maintain and streamline existing systems, checklists, and procedures to ensure the smooth and efficient operation of the office. You will take ownership of the contact database, nurture its growth, and use it to support your agent and hold them accountable for lead generation and follow-up
Manage Deal Flow: You will project-manage all transactions from Listing Appointment to Close. This includes preparing your agent for listing appointments, overseeing the pre-listing prep and marketing process, scheduling showings, helping with open houses, providing seller feedback, and managing all paperwork. In addition, you will work with the transaction coordinator during the contract-to-close process
Marketing Assistance: You will coordinate marketing materials with the marketing coordinator for the agent. You will assist with marketing listings and managing the marketing calendar (farming & SOI). You will work with staging companies and photographers, write property descriptions, and manage the listing marketing checklist. You will also post various events and content on social media. In addition, you will help plan and execute various client appreciation events and contribute to newsletters.

- You know your strengths are in supporting others and have 2 or more years of experience supporting a real estate agent, team, or office in a similar capacity or you have worked in an administrative role supporting a small business owner wearing multiple hats.

The Details
Salary: $65,000 – $80,000 base salary commensurate with experience and an opportunity for a bonus
Benefits: PTO, holidays, and a contribution toward medical benefits
Hours: 9 am – 6 pm – M-F – with flexibility; occasional needs after hours or on weekends
Location: In Office – El Cerrito, CA – You live within a 40-minute commute to El Cerrito. You have daily access to a personal vehicle that you can drive for work-related tasks. You have a driver’s license, and you carry insurance.
