You are even-tempered, and you pride yourself on your ability to ask the right questions to resolve issues quickly. In short: you have a knack for reading people and making them feel comfortable. 

You keep things organized; maybe your books are arranged alphabetically, or your closet is color-coordinated. Either way, you enjoy keeping your life neat, clean, and manicured. Mistakes are a rare occurrence for you but consider them all an opportunity to learn.

What You Can Expect

You will be required to wear multiple hats and own your role. As you liaise with title, escrow, and lenders for a smooth transaction, you will be in charge of serving as the key contact for clients and will provide a concierge-level of service. 

Areas of Focus:

Create Structure: You will continue to build the business by streamlining systems, checklists, and procedures to ensure the smooth and efficient operation of the office, and you will oversee all database management. 

Manage: You will prepare agents for appointments and manage contracts and disclosures. In addition, you will conduct market research, keep all buyers informed of what is available on and off the market. You are also responsible for managing virtual assistants.

Support Lead Generation: You will take an active role in supporting your Agent’s lead generation efforts. This will include preparing call lists, writing thank you cards, and managing the referral program. You will also make warm calls to past clients to “check-in.”

Manage Deal Flow: You will provide client care and continuous client communication throughout the transaction process and work with the Transaction Coordinator to ensure a successful closing. 

Marketing Support: You will be responsible for our extensive gifting program, such as coordinating gifts for closings, birthdays, anniversaries. You will plan all client appreciation events. You will personalize templated content across all platforms and engage with the audience online.

Support and Serve: You will provide an executive level of administrative support to your agents to leverage them to a higher level. This may include but is not limited to phone and email management, calendar organization, and task management. 

To Qualify 

  • B.A. / B.S. degree or equivalent experience
  • 2 or more years of experience in project management/event management and customer service OR 2 or more years supporting other sales professionals in an administrative capacity with an emphasis on customer service. Experience supporting others in real estate is a bonus!

Ideally, you are familiar with or can easily learn 

  • Boomtown 
  • Google Suite 
  • CRM Programs
  • Social Media Platforms (including YouTube) 
  • Evernote

Salary: A base salary of $50K – $60K plus competitive bonus structure 

Benefits: Paid vacation and possible health insurance stipend 

Hours: Full-time, 40+ hrs/week M-F, some flexibility on the weekends and evenings 

Location: Remote with the ability to work PST hours of 8-5. You must have a reliable internet connection and be free from distractions in your workspace. (The main office is located in Campbell, CA)
